What the telephone agent can do

October 16, 2026

The telephone agent is the inbound sales agent. It picks up every call on the first ring and replies to every text in seconds, day or night, on the business number you already use. It answers from knowledge you approve, qualifies the caller, books a meeting, and writes the recording, transcript, summary, and source to your CRM. This guide is what it can do. Our team sets it up with you.

What it answers

It answers voice calls and text messages. A call is picked up on the first ring, in a natural voice, including nights and weekends. A text gets a reply in seconds. After a call it can send a confirmation, a reminder, or a follow-up by SMS.

The greeting uses your business name. The first thing it says is that it is a virtual assistant. Callers hear a natural conversation, and they are told they are talking to one. That introduction is on every call.

You keep the number callers already have. Calls and texts reach the agent by standard forwarding. You choose when it answers: all the time, after hours, or when your team is busy. The phone system itself stays as it is.

What it is allowed to say

Before it goes live, it is trained on your products, services, pricing, policies, qualifying questions, and booking rules. You approve the scripts. It answers from that knowledge. A price, a plan, a policy, or a product limit has to be in the knowledge you approved.

The same knowledge is what a shopper, a developer, or a buyer hears when they call with a common question. A store caller can ask about sizing, shipping, or returns. A software caller can ask about a tier, a limit, or an enterprise plan. The answer comes from the approved knowledge, the way your team wrote it.

For one specific order, the agent takes the details your team needs, such as the order and what went wrong, and your team handles that order. A sensitive request, such as a coverage or account question that belongs with a person, is handed over.

How a call runs

The caller hears your business name and that this is a virtual assistant. The agent answers the question they called about, then asks the qualifying questions you approved, in the course of the conversation. It scores the lead from those answers.

A caller who fits is offered a meeting on the calendar connected at setup, on the right person's calendar when the answers say who should take it. A demo request can be booked onto that calendar during the call. A confirmation can go out by text before they hang up.

A caller who is a hot lead, or a call that is urgent, is transferred to a person on your team while the call is still live. The person receives a short summary, so the caller does not start over. If nobody is free, the agent takes a detailed message and alerts the team.

What gets saved

Every conversation is written down before the caller is gone: contact details, company, what they asked, the qualification answers, any meeting booked, the recording, the transcript, a summary, and the source.

The source is how they heard about you, when they say it or when the call can be tied to one. A creator, an AI recommendation, search, or an outbound campaign can be that source. A call that follows a chat on your site stays on the same lead as the chat. The telephone agent and the website agent share one lead record, so a buyer who messages today and calls tomorrow is one person.

Those transcripts also feed the research agent. The phrases callers actually use can go back into the brief the other agents read, after you approve the brief.

Where it sits with the other agents

Creators, AI answers, search, and outbound create the reason someone calls. The telephone agent is the part that picks up. Whichever of those sent the caller, this agent qualifies them, books the meeting, and records that source.

A buyer who starts on the site and then calls is the same lead in both places. The website agent reads the page and the link that sent them. The telephone agent reads the call and the text. The CRM record is one.

Open Telephone agent in the sidebar for this workspace. The page is there so you can see the agent. Our team does the setup with you: the knowledge, the scripts, the calendar, the CRM, and a test call you approve before it answers a real caller.

What setup covers

Your phone system stays as it is. We load the knowledge base and the scripts, connect the calendar and the CRM, and place test calls with you. It goes live when you approve.

You decide the hours. Always means every call and text, including lunch, evenings, and weekends. After hours means your team takes the day and the agent takes the rest. When your team is busy means the agent answers the calls your team cannot pick up.

On Pricing, the telephone agent starts at $1,500 a month. Added to the website agent, it is $1,000 a month, because the two share one lead record and the knowledge base built at setup. It runs on your existing business number. The public overview is on the AI receptionist page.

What a caller hears, by business

A dev tools caller asking about a pricing tier, a usage limit, or an enterprise plan gets the answer from your docs. A serious evaluation is routed to sales.

A B2B caller asking for a demo or a price is answered on the call, qualified against the buyers you described, and booked onto the right calendar.

A fintech caller gets the coverage and onboarding answers you approved. A sensitive request is handed to a person, and the call is recorded for review.

A shopper calling or texting about an order, a size, or a return gets the policy answer at any hour. For one specific order, the agent collects the details your team needs and can text a confirmation or a follow-up.

Questions

Will callers know they are talking to AI?

Yes. The agent introduces itself as a virtual assistant at the start of every call. The voice is natural, and the caller is told.

Can I keep my existing phone number?

Yes. The number stays the same. Calls and texts reach the agent through standard forwarding. You choose all the time, after hours, or when your team is busy.

What happens on an urgent call or a hot lead?

The agent transfers the call to a person on your team, with a short summary. If nobody is available, it takes a detailed message and alerts the team.

What is saved from each call?

Contact details, company, what the caller asked, qualification answers, any meeting booked, the recording, the transcript, a summary, and the source, such as a creator, an AI recommendation, search, or an outbound campaign.

Can it answer a question about one specific order?

It answers policies you approved, such as sizing, shipping, and returns. For one order, it takes the details your team needs so a person can handle that order.

Do a call and a website chat stay one lead?

Yes. The telephone agent and the website agent share one lead record. A buyer who chats and later calls stays one lead.

How much does it cost?

It starts at $1,500 a month, or $1,000 a month when you add it to the website agent. It uses your existing business number.
