How to switch between workspaces
October 7, 2026
Some people belong to more than one workspace: a founder with two brands, a consultant working with several clients, or the Pipeline Simple team. The app shows one workspace at a time, and everything you see and save belongs to that one. This guide shows how to switch, how the app remembers your choice, what changes when you switch and what stays with you, and the habits that keep every lead, brief edit and meeting in the right company.
Before you start
A workspace is one company inside Pipeline Simple, with its own brief, reports, limits and pipeline. If you have not read it yet, how workspaces work explains why each company gets its own.
You can only switch between workspaces you belong to. To get into another company's workspace, ask someone in it to add the address you sign in with from their Settings page. Once they add you, the new workspace appears in your menu the next time a page loads.
If you belong to just one workspace, there is nothing to switch. The sidebar shows the name of your workspace in the spot where the menu would be.
Find the Workspace menu
The menu sits at the top of the sidebar, just under the Pipeline Simple logo, with the label Workspace above it. It shows the workspace you are in. Open it and you see every workspace you belong to, in alphabetical order.
On a phone or a narrow window, the sidebar becomes a bar across the top of the screen. The Workspace menu is still there, under the logo and above the row of page links.
Switch in three steps
First, open the Workspace menu and pick the workspace you want. The switch happens as soon as you pick it. There is no button to press.
Second, wait for the dashboard to load. Switching always opens the dashboard of the workspace you picked, whichever page you were on before. Check the name above the Dashboard title. It should be the workspace you just picked.
Third, go to the page you need from the sidebar. Anything you saved in the old workspace stays exactly where you left it. Anything you typed but had not saved on the page you were on is gone, because switching takes you to the dashboard, so save before you switch.
How the app remembers your choice
Your choice is saved in the browser you picked it in. Come back tomorrow and the app opens the same workspace without asking.
There are a few times the app picks for you. The first time you sign in, in a new browser or on a new device, after you sign out, and if we remove you from the workspace you had picked, the app opens your first workspace in alphabetical order. Signing out clears the saved choice, so after you sign back in, pick again from the menu if you need a different workspace.
Each browser and device keeps its own choice. Your laptop can be in one workspace while your phone is in another. That can be handy, and it is also why the name above the page title is worth a glance before you save anything.
What changes when you switch
Switching changes everything that belongs to a company. The dashboard shows the other workspace's agent cards, its accuracy alerts and its pipeline numbers for the month. The brief is that company's brief. Research, Creators, GEO, SEO and Outbound list that workspace's runs, and every new run reads that brief.
Monthly run limits are counted per workspace, so a scan in one workspace never uses a run in the other. The Monday GEO rerun is set per workspace too, in Settings.
The pipeline shows that workspace's leads only, and By source reports on them alone. Scheduling lists the meeting types created in that workspace and the meetings booked through them. Settings shows that workspace's name, its Monday rerun and the people with access to it.
Searches never cross over. If you search the pipeline for someone and they are not there, they may be a lead in your other workspace. Switch and search again.
What stays with you
Some things belong to you as a person rather than to a company, so they stay the same in every workspace.
Your sign in stays the same, and so does your booking page: its address, the name it shows, your hours and your time zone. Changing your hours while one workspace is selected changes them everywhere, because there is only one set.
Your calendar connection is shared too. Connect your calendar once and every workspace uses it. Because there is one calendar behind all your links, a meeting booked through any of them blocks that time on all of them, so two companies can never book you for the same slot.
Your booking page lists every meeting type you have turned on, from every workspace. Each meeting type still belongs to the workspace it was created in, and meetings booked through it land in that workspace's pipeline. Link endings have to be different across all your meeting types, so if you try to reuse one, the app asks you to change it.
Know which workspace you are in
The quickest check is the Workspace menu itself. The workspace name also appears above the page title on the dashboard, the pipeline and Settings. On Add a lead and Import, the label reads the workspace name followed by Pipeline, and a line under the title says which workspace the leads go into.
Reports carry the name of the company they belong to, in a label that starts with the workspace name and is followed by the kind of report, such as GEO scan, SEO audit or Creator search. The brief page names the workspace in its description.
A useful tell is the Owner list on Add a lead, Import and each lead's page. It lists the people in the current workspace, so unfamiliar names there mean you are in the other company.
Working in more than one tab
All tabs in one browser share the same choice. If you switch in one tab, every other tab in that browser switches too, but only the next time it loads a page or saves something. Until then it keeps showing what it loaded earlier, which can be the other workspace.
Add a lead and Import protect you from this. They remember the workspace they were opened in, and if a different one is selected when you press the button, nothing is saved. A message names both workspaces, and what you typed stays in the form. Pick the original workspace again in the other tab and press the button again, or reload the page to save into the workspace that is selected now.
For everything else, make it a habit to reload your other tabs after you switch, and to check the name above the page title before you save. That matters most for the brief, Settings and new meeting types, because each of them changes something for a whole company at once.
If you work in two workspaces side by side all day, use a second browser profile. Each profile keeps its own sign in and its own choice, so one window can stay in each company. Sign in once in each profile, and open each sign in link in the profile you asked for it from.
Links from teammates, emails and bookmarks
Reports open from any workspace you belong to. If someone sends you a link to a GEO report from your other company, it opens, and the label above the title tells you which company it belongs to.
Leads work differently. A lead opens only while its workspace is selected. If you follow a link to a lead in your other workspace, you see a page that says it could not be found. Nothing is wrong with the lead. Switch to its workspace, then open the link again. Meeting types behave the same way when you open one to edit it.
If a link does not open in any of your workspaces, it may belong to a workspace you are not in. Email us and we will check your access.
If you work across many companies
Name workspaces so they are easy to tell apart. Anyone in a workspace can rename it in Settings, and the menu sorts by name, so a clear name such as the brand people know puts each workspace where you expect to find it.
Keep a simple routine: switch first, check the name, then work. Switch before you start an agent run, add a lead, create a meeting type or edit the brief, never halfway through.
Members of the Pipeline Simple team can also open a customer's workspace from Admin. Opening one there selects it the same way the menu does and takes you to its dashboard.
When you are ready to add leads, how to save leads into a specific workspace walks through each way a lead gets into a pipeline and how to make sure it lands in the right one.
Questions
Why is there no Workspace menu in my sidebar?
You belong to one workspace, so there is nothing to switch to. The menu appears as soon as you belong to two or more.
Can I see two workspaces at the same time?
Not in one browser, because every tab shares the same choice. Use a second browser profile to keep one window in each workspace.
Does switching lose my work?
Anything you saved stays in its workspace. Only typing you had not saved on the page you were on is lost, because switching opens the dashboard.
Why does a link to a lead say the page could not be found?
The lead belongs to your other workspace. Switch to it from the Workspace menu, then open the link again.
Do run limits carry over between workspaces?
No. Each workspace has its own monthly limits, and a run in one never uses up the other.
Why did the app open a different workspace after I signed in?
Signing out clears your choice, so the next sign in opens your first workspace in alphabetical order. Pick the one you want from the menu.
How do I get added to another workspace?
Ask someone in that workspace to add the address you sign in with from Settings. Once they do, it appears in your Workspace menu.
