How to save leads into a specific workspace

October 7, 2026

Every lead in Pipeline Simple belongs to exactly one workspace, and that is decided the moment the lead is saved. Leads cannot be moved between workspaces afterwards, so the reliable habit is simple: pick the workspace first, then add. This guide walks through each way a lead gets into a pipeline, how to make sure it lands in the right one, and what to do when it does not.

Where a new lead goes

There are four ways into a pipeline, and each one decides the workspace in its own way.

Leads you add by hand go into the workspace selected when you press Add lead. Lists you import go into the workspace selected when you press Import. Bookings go into the workspace their meeting type was created in, whichever workspace you happen to have open. Approved outbound sequences go into the workspace their outbound batch ran in.

Each workspace keeps its own pipeline, and nothing syncs between them. The same person can be a lead in two workspaces, as two separate records with their own stage, owner, value and timeline. Matching, search and reports never look across workspaces.

Step 1: Pick the workspace

If you belong to more than one workspace, open the Workspace menu at the top of the sidebar and pick the company the lead belongs to. The app opens that workspace's dashboard. How to switch between workspaces covers the menu in detail.

Then open Pipeline in the sidebar. The workspace name sits above the Pipeline title, and the board shows that company's leads. If the leads look unfamiliar, you are in the other workspace.

If you belong to one workspace, there is nothing to pick. Every lead you add goes into it.

Step 2: Add one lead by hand

Use this for someone who reached you outside the app: a referral, a conversation at an event, a call or an email thread. On the Pipeline page, press Add lead. The label above the title shows the workspace name followed by Pipeline. If you belong to more than one workspace, a line under the title also says which workspace the lead goes into.

Fill in what you know about the person: name, email, company, website, title and phone. You need at least a name, an email or a company. Leave the website empty when you have a work email, because it is filled in from the email address. Personal email addresses are not used for this, so add the website yourself when a personal address is all you have.

Next, set up the deal. Stage starts at New. Pick a later stage if you are further along, such as Meeting booked when a call is already on the calendar, or Proposal when you have sent one. Value is optional and in US dollars, written like 12000 or 12.5k. Owner lists the people in this workspace and starts with you. Pick a colleague, or No owner if nobody has it yet.

Then say where they came from. This field is required, and it is the lead's first touch, so it stays the same as the lead moves through the stages. Pick Referral, Event, Direct or Other for most people you add by hand, or one of the agent channels, such as Creators, GEO, SEO or Outbound, when one of them brought the person in. Use Detail for the specifics: the creator, the campaign, the event, or who referred them.

Add a note if there is context worth keeping, such as what you talked about or what happens next. It becomes the first entry on the lead's timeline. Press Add lead, and the new lead's page opens with a short confirmation that says Lead added.

When the person is already there

Before saving, the app checks whether the person is already a lead in this workspace. An email address decides who someone is. Without one, the same name at the same company or website counts as the same person, and a first name on its own matches a full name that starts with it. A lead with a different email address on file is treated as someone else.

When there is a match, nothing is saved. You see "This person is already in your pipeline." with a link to open that lead. Open it and add a note, move the stage or set a value there instead, so their whole history stays on one record.

The check only looks inside the selected workspace. The same person in another workspace is not a match, which is one more reason to pick the workspace first.

Step 3: Import a list

Use an import for a list from an event, a spreadsheet or a CRM you used before. On the Pipeline page, press Import CSV. As with adding by hand, the label above the title shows the workspace the list goes into.

Press Upload CSV and pick the file. The columns it reads are name, or first and last name, plus email, company, website, title and phone. Use Download a template if you want a file with the right headers already in place. Each import takes up to 2,000 rows from a file of up to 2 MB, and if a file has more rows, the preview says how many were left out.

The app reads the file in your browser and shows a preview of the first 100 rows, with a count of how many leads are ready. Rows with no name, email or company are skipped, and so are rows that repeat an earlier row in the same file. If the file has no email column, the preview says so, and people are matched by name and company instead.

Then choose one source for the whole file. It starts at Import. Pick Event for a list from an event, or Referral for a list a partner sent you. Detail is a good place for the event or partner name, and the file name is used when you leave it empty. Pick an owner, then press the Import button, which shows how many leads it will add.

When it finishes, the pipeline opens in list view with a summary of how many new leads were added and how many rows matched leads already there. Matched leads keep their source and stage, and the file only fills in fields that were empty. Each one gets an entry on its timeline saying it was imported, with the file name. New leads start at New.

Leads that arrive on their own

Bookings and approved outbound sequences add leads without anyone typing. Their workspace is decided ahead of time, by where you set them up.

For bookings, the meeting type decides. A meeting type belongs to the workspace that was selected when it was created, and every meeting booked through it lands in that workspace's pipeline. So switch to the right workspace before you open Scheduling and press New meeting type. Give it a name, a link, a length and a place to meet, then press Create meeting type.

A booking adds the person at Meeting booked, and you, as the host, become the owner unless the lead already has one. The source comes from the visit: a tracked creator link, a tag from one of our agents, the site the person came from, such as an AI assistant or a search engine, or what they wrote when the booking form asked how they heard about you. When none of those says anything, the source is Direct.

If the person is already a lead in that workspace, the booking joins their timeline instead of creating a new lead. Their stage moves forward to Meeting booked if it was earlier, never backwards, and leads already marked Won or Lost stay where they are. Reschedules and cancellations show up on the timeline too.

If you take meetings for two companies, keep their meeting types apart. Your booking page lists every meeting type you have turned on, from every workspace, so give each one a name that makes the company clear, or share each meeting type's own link rather than the booking page.

For outbound, the batch decides. When you approve a sequence on an outbound batch, its account is added as a lead in the workspace where that batch ran, whichever workspace is selected when you approve. The lead starts at New, because sending happens outside the app. Its source is Outbound, with the offer or the date of the batch as the detail, and the person who approved it becomes the owner unless the lead already has one. Approving the same sequence again does not add the person twice.

Step 4: Check where it landed

Open Pipeline and look for the lead. The board has a column for each stage with a count and a total value, and each card has a menu to move it to another stage. The list view shows everyone in one table.

Search finds people by name, email or company. You can also filter by source, by owner when more than one person is in the workspace, and by stage in the list view.

By source shows how the leads in this workspace turn into meetings and revenue over the last 30 days, 90 days or 12 months. The Pipeline this month panel on the dashboard counts new leads, meetings booked, won revenue and open pipeline for this workspace alone.

If you cannot find a lead you just added, check the name above the Pipeline title. It may have gone into your other workspace. Switch and search there.

Fix a lead saved in the wrong workspace

Leads cannot be moved between workspaces, but you can put one right in a few minutes.

First, in the workspace where it landed, open the lead and copy anything you want to keep, such as your notes, the deal value and the source detail.

Second, open Contact details on the lead's page, press Delete lead, then Delete for good. This removes the lead and its timeline for everyone in that workspace. Meetings already booked stay on the calendar.

Third, switch to the right workspace and add the lead again by hand. Use the same first touch as its source, and paste your notes into the note field.

If a whole file went into the wrong workspace, import the same file into the right one, then delete the copies in the wrong workspace from each lead's page.

If bookings keep landing in the wrong workspace, the meeting type lives in the wrong one. Switch to the right workspace, create a new meeting type there with a different link ending, and share its link instead. Then open the old meeting type and untick Taking bookings, which hides it without deleting it. Meetings already booked through it stay booked, and their leads stay where they are.

A checklist before you save

Check the name above the page title. On Add a lead and Import, it reads the workspace name followed by Pipeline.

Look at the Owner list. It only shows people in the current workspace, so unfamiliar names mean you are in the other company.

Search first. A quick search for the email or the company shows whether the person is already a lead, and the app stops exact duplicates anyway.

Pick the first touch as the source. It never changes later, and it decides which channel gets the credit in By source.

Leave the Workspace menu alone while a form is open. If you switch in another tab, Add a lead and Import save nothing and tell you why, and what you typed stays in the form.

Questions

Can I move a lead to another workspace?

No. Workspaces never share records. Delete the lead where it landed, switch, and add it again in the right workspace. For a whole list, import the file again into the right workspace.

Which workspace do bookings go to?

The workspace the meeting type was created in. It does not matter which workspace you have open when someone books.

What happens if I switch workspaces while Add a lead is open?

Nothing is saved. The page tells you it was opened in a different workspace and names both, and what you typed stays in the form. Pick the original workspace again, or reload the page to add the lead to the one selected now.

Why did my import say some rows matched leads already here?

Those people were already leads in this workspace, matched by email, or by name and company when there was no email. They keep their source and stage, and the file only filled in fields that were empty.

Can I add the same person to two workspaces?

Yes. Add them in each workspace. They become two separate leads, each with its own stage, owner, notes and timeline.

Do leads use up agent runs?

No. Adding, importing and updating leads never counts toward the monthly run limits.
